TOPIC 06 · Freight Payments

Understand Freight Pay and Settlement

A settlement lists earnings, deductions, and the amount payable; that amount is neither proof of receipt nor profit after all costs. Start with an owner-operator’s $1,500 settlement with a carrier and follow the calculation and payment checks.

FOLLOW ONE OWNER-OPERATOR

How does $1,500 become $1,300 on a settlement?

In this example, you use your own truck to haul for a carrier, which settles payment with you. You finish a load, and the carrier sends you a settlement statement.

01

FIRST · WHO PAYS WHOM

Here, we are looking at what the carrier pays you

Carrier
Settles with you under your agreement
You · owner-operator

The carrier credits you $1,500 for this settlement. This is the amount allocated to you in the example; the total freight payment from the customer to the carrier may be different.

This is an owner-operator’s settlement with a carrier. It does not describe how every employee driver’s wages are calculated.

02

READ THE STATEMENT · ONE LINE AT A TIME

What was credited, what was deducted, and what remains

This breakdown of earnings and deductions is a Settlement 结算单. These are example English labels; the headings on actual statements may differ.

Settlement StatementFollow these three lines
TEACHING EXAMPLE · FICTIONAL AMOUNTS
Gross earningsEarnings credited to you
$1,500
The amount credited to you under this example’s agreement.
DeductionsDeductions
− $200
The carrier already paid $200 for your fuel; that amount is deducted here.
Net payNet amount payable
$1,300
1,500 minus 200. This is the amount still payable; this line alone does not establish that it has arrived.

This example assumes a single deduction. Actual settlements may include other items that need to be checked against the agreement.

What if you do not recognize the $200 fuel charge?

Ask the carrier which purchase it refers to, then compare the fuel record with your agreement. Understand why an amount was deducted as well as how much.

You can ask the carrier

“What is this $200 deduction for?”

这笔 $200 的扣款是什么费用?

03

FINALLY · HAS PAYMENT BEEN MADE?

Separate the amount payable from money received

The statement calculates $1,300 payable to you. It does not by itself prove that the money is in your account. Confirm whether payment was sent, how it was sent, and check the actual receipt.

You can confirm with the carrier

“Has the $1,300 payment been sent? If not, when will it be sent?”

这笔 $1,300 已经付出了吗?如果还没付,预计什么时候付?

Receiving $1,300 does not mean making $1,300 in profit. Costs such as repairs and insurance may not have been deducted on this statement.

OPTIONAL READINGWhat about payment terms, quick-pay, and factoring?

Now consider a different question: how does a carrier collect freight payment from its customer? This is company receivables, not another calculation of the driver’s settlement above.

Rate Confirmation 运价确认书

The document recording agreed shipment details and pay before transportation. It answers a different question from the later settlement between a carrier and its driver.

Invoice 请款账单

A carrier sends an invoice to request payment from its customer. Linehaul 基本运费 may appear separately from fuel surcharges or waiting charges; compare the items with the agreement. A POD documents delivery, while an invoice requests payment. Sending one does not establish that the customer has paid.

Net 30 账期

Check when the period begins. Suppose the agreement says “payment within 30 days of receiving complete billing.” That is the 30-day period; Net 30 does not always start on the delivery date.

Quick-Pay 快付

The payer may offer earlier payment for a fee. Eligibility, the fee, and the payment time depend on the terms.

Factoring 保理

Before the customer pays, a carrier sells the receivable to a factoring company to obtain funds under their agreement. The factor then collects from the customer. Fees and responsibility if the customer does not pay depend on the contract.

These explanations introduce the terms; not every company can use every arrangement.

Vocabulary for this topic 20

Start with one settlement statement. Explore the other terms below when you need them.

Agreed pay and payment arrangements

Separate the agreement and settlement record from when and through whom payment is made.

Rate Confirmation运价确认书

A document confirming the rate and arrangements for a specific load, often called a rate con. It commonly lists pickup, delivery, timing, and freight charges; accessorial and payment terms may also appear in a separate agreement.

Settlement结算单CORE

A statement listing earnings, deductions, and the net amount payable for a period. In a leased owner-operator example, it shows revenue less contractual deductions. An amount shown as payable is not proof of bank payment or profit after all business expenses.

Full entry & related terms
Net 30 / 60 Terms账期 (Net 30/60)

Payment terms. Net 30 ordinarily means full payment within 30 days of the invoice date; Net 60 means 60 days. A transport agreement may instead start the clock when complete documents are received. Check the agreed starting date rather than simply counting from delivery.

Full entry & related terms
Quick-Pay快付

An early-payment option offered by a broker or other payer, usually for a fee or discount from the freight bill. Timing, cost, and required documents vary; “Quick Pay” alone does not state those terms.

Full entry & related terms
Factoring保理

Transferring freight receivables to a factoring company, which pays an agreed amount in advance and collects from the debtor. It can accelerate cash flow at a cost; advance amount, timing, and any reserve depend on the contract.

Full entry & related terms
Invoice请款账单 / 发票

A bill listing what is being charged, the amount, and payment terms. In U.S. freight work an invoice is commonly used to request payment; it is not a bill of lading or, by itself, proof that payment was received.

Base freight, added charges, and deductions

Start with base freight, then check additional revenue and withheld funds separately.

Linehaul基本运输费 / 干线运输

On a quote or bill, linehaul commonly means the base transportation charge, with fuel and accessorials potentially listed separately. In operations it can also mean transport between cities or terminals; context matters.

Full entry & related terms
Accessorial Charges附加费

Charges beyond the base line-haul transportation price for extra services or circumstances, such as detention, layover, loading labor, tarping, or liftgate use. Check which items are separately billable and their agreed terms.

Full entry & related terms
FSC Fuel Surcharge燃油附加费

A charge reflecting changes in fuel costs, often called FSC. Some agreements use EIA diesel-price data, but EIA does not set a universal surcharge formula. Check whether a quoted rate already includes fuel before adding it again.

Full entry & related terms
Escrow保证金 / 押金

In a carrier lease, money held under agreed terms for specified purposes, sometimes accumulated through settlement deductions. Check the required amount, permitted uses, accounting, and return conditions; it is not an unrestricted carrier charge.

Revenue and cost per mile

Including empty miles changes the per-mile result for the same revenue.

RPM Rate per Mile每英里运价

Rate per Mile: freight revenue divided by the mileage used. Check whether that means loaded miles or loaded plus empty miles. “All-in” commonly concerns included charges, such as fuel, and does not automatically specify that deadhead miles are included.

Full entry & related terms
CPM Cost per Mile每英里成本

Cost per Mile: operating costs for a period divided by total miles for the same period. Include relevant costs beyond fuel, such as maintenance, tires, insurance, and vehicle costs. In driver-pay discussions, CPM may instead mean cents per mile; check the context.

DH Deadhead空驶

A leg driven without freight, such as traveling from delivery to the next pickup. It may involve an empty trailer or a tractor alone; compensation for empty miles depends on the agreement.

What kind of rate is it?

Recognize rates for individual spot moves and ongoing contracts.

Spot Rate即期运价

A per-load price negotiated in the spot market (load boards), moving with short-term supply/demand.

Full entry & related terms
Contract Rate合同运价

A rate agreed in advance for a lane or period. The contract sets pricing, duration, and adjustments; fuel may be separate. A contract rate does not by itself guarantee volume or ensure it is above or below the current spot rate.
