Compiled October 13, 2026. These are original communication checklists and phrases, not universal fleet policies, contract terms or compensation promises. Build messages around facts, times, limits and a clear request. Brackets are placeholders. Park before using your phone, and send actual business information only through company-approved channels.
For quantity differences, visible damage, a seal mismatch or unclear wording on a BOL or POD, describe only what you actually observed. Contact dispatch or the designated person to confirm the next steps.
Handling an exception: Record when you noticed the issue, the discrepancy and actions already taken. Retain necessary photographs where permitted and safe, and submit them through approved channels. Do not confirm counts or condition you have not checked. Do not independently alter another party’s documents, break a seal or dispose of cargo. Ask the appropriate parties to record the discrepancy accurately, identify who will follow up, and retain the final version and handoff confirmation. For an immediate hazard, follow the site’s emergency procedures first.
Ready-to-use phrase: “The paperwork does not match what I can verify; please confirm how to document the discrepancy.” / “文件与我能核实的情况不一致,请确认应如何记录差异。”
Reusable message order: fact → time → impact → request → next update. These phrases clarify the issue; actual work remains subject to applicable rules, site requirements and authorized company procedures.
