Compiled October 13, 2026. These are original communication checklists and phrases, not universal fleet policies, contract terms or compensation promises. Build messages around facts, times, limits and a clear request. Brackets are placeholders. Park before using your phone, and send actual business information only through company-approved channels.
As soon as the original ETA becomes unrealistic, tell dispatch your general location, the cause, your current estimate and when you will update them. Give a range when appropriate; do not present a guess as a guarantee.
Message template: “Original appointment: [time/time zone]. Current obstacle: [brief description]. Expected impact: [time or uncertain]. Help needed: [rescheduling/safe parking/safety department]. Next update: [time].” If pressured to continue driving, state the safety or available-hours constraint clearly and contact the safety lead through your company’s process. Do not use speeding, fatigued driving or false records to recover the schedule. Working-hours and safety decisions require applicable rules and training; this chapter offers no workaround to extend driving time.
Ready-to-use phrase: “I cannot safely meet this appointment; please help arrange a revised plan.” / “我无法安全地按这个预约完成,请协助调整安排。”
Reusable message order: fact → time → impact → request → next update. These phrases clarify the issue; actual work remains subject to applicable rules, site requirements and authorized company procedures.
