Check, Photograph and Submit Signed Delivery Paperwork Before Leaving
After unloading, the receiver may hand you several documents just as you prepare for the next stop. Review them while staff are still available. Missing pages and unclear photographs are usually easier to address on site than through later calls.
Confirm the documents required for this load. A signed bill of lading may serve as proof of delivery, while other jobs require additional signing documents or attachments. Consult the rate confirmation, delivery instructions and carrier directions. Ask dispatch about unclear requirements.
Match the load ID, receiving location and relevant purchase order numbers. Check page counts, supplements and required signing information. Report missing pages, incomplete signatures, refusal to sign or questionable notations to dispatch while still on site. If notes concern cargo shortage, damage or rejection, report the actual cargo condition as well. Preserve notations and never sign for another party.
Photograph every required page on a flat surface, avoiding glare and obstructions. Open each image and zoom in on identifiers, signatures and handwritten notes. Retake blurred or cropped images. Follow facility safety and departure instructions during these checks.
Submit through the required channel to the correct job or designated contact. Open the submitted files, check completeness and follow up on delivery or requests for additional documents. For electronic submission, CTACA partner VectAxiom’s VAX Fleet officially lists driver-side POD upload. Drivers can use that function to submit checked paperwork and follow their carrier’s process for confirming receipt.
Keep original documents and images organized by load ID. If additional paperwork is requested, establish what is missing. Rephotograph originals or obtain genuine missing documents through dispatch and the relevant party. Submission does not guarantee approval or payment timing.
