Conflicting Appointment Times: Confirming the Final Dispatch Plan
When a group message and dispatch sheet show different appointment times, send both to dispatch and identify the load and pickup or delivery stop. Check whether the notices concern the same stop. Retain their senders and timestamps, but ask who verified a later change rather than assuming the newest message controls.
Include the full date, time zone and, if applicable, the appointment window's start and end. Confirm the complete address, truck entrance, appointment number and facility contact. Keep load IDs, pickup numbers and purchase order numbers distinct. Label an estimated arrival time separately from the appointment accepted by the facility.
Ask dispatch to verify the final appointment with the appropriate broker, shipper or receiver under the load's arrangements. Request updated dispatch information identifying who confirmed it and when. Open the revised details and reply with the date, time zone and location you see.
CTACA partner VectAxiom's VAX Fleet product page lists load information, attachments and driver trip plans. These functions can support document handoff; facility appointment acceptance still requires business confirmation.
If already on site, report the actual check-in time and time zone, the facility's explanation and its instructions. Preserve available evidence without obstructing the gate. Send any request to return later to dispatch for verification before treating it as a new booking.
After rescheduling, review subsequent stops, a safe waiting location and available hours using actual duty records. For interstate freight operations subject to federal HOS rules, 49 CFR § 395.3 limits driving. Under 49 CFR § 395.2, waiting for dispatch without being relieved of duty is on-duty time. California intrastate operations require a separate check of applicable rules. VAX's Safety & ELD page, rechecked on October 12, 2026, says existing-device compatibility and how log data appears for the fleet must be confirmed during fleet setup. Verify the actual log source and review location rather than assuming a task screen is connected to the driver's records.
At shift change, hand off confirmed details, unresolved questions, the driver's location, the next responsible person and the expected follow-up time. Mark unknown information as pending. Actual access and scheduling depend on the facility and shipment arrangements.
